Due to the rapid introduction of Microsoft Teams at Parking Zürich as a result of the Corona situation, there were no clear structures or specifications for new teams in place beforehand. This resulted in a kind of uncontrolled growth.​

IOZ, Parking Zürich’s integration partner, recommended Teams Manager from Solutions2Share. This app was to ensure that new teams met the guidelines. IOZ assisted Parking Zürich with the implementation of the intranet, process automations and the collaboration environment as well as the implementation of Teams Manager.​

With Teams Manager, there are now clear guidelines with templates for new teams as well as a structured approval process. Guidelines and conventions support the lifecycle of the teams and curb uncontrolled growth.​

Parking Zürich’s Challenges

Due to the Corona situation, there were no clear structures at Parking Zürich in place prior to the introduction of Microsoft Teams. This resulted in parallel worlds with Microsoft Teams / SharePoint and the classic file server. In addition, a kind of uncontrolled growth emerged in MS Teams, as there were no rules as to how new teams should be named and whether teams should be created publicly or privately.​

Parking Zürich AG needed a tool that could be used to control proliferation through structured specifications and approval processes for the creation of new teams. The specifications should not be too restrictive and yet be designed in such a way that the desired structure could be implemented. User acceptance also played a major role.​

Our solution for Parking Zürich

IOZ, Parking Zürich’s integration partner, recommended Solutions2Share’s Teams Manager for the solution. The main arguments were the ease of use, the full integration with MS Teams and the possibility to customize all settings and also templates directly in the tool.​

Teams Manager now supports Parking Zürich in ensuring that new teams comply with the guidelines. Together with IOZ, a concept was developed for the transition of the “uncontrolled growth” to a structured collaboration environment. IOZ assisted Parking Zürich with the integration and implementation of the entire collaboration environment as well as the installation, configuration and implementation of Teams Manager.​

Parking Zürich’s Benefits

With Teams Manager, new teams are now well structured. There are clear guidelines with team templates. Teams are created with or without approval, depending on the type, and with the necessary guidelines and conventions. Teams can now be requested by users and approved by the relevant parties, which reduces the workload in IT. At the same time, when new teams are created, the approval process directly informs the necessary people.​

Parking Zürich employees who create or approve teams now have clear guidelines.

For newly created teams, compliance with the guidelines is ensured. Necessary persons are informed directly.

Teams Manager is used to define responsible parties who approve new teams. This relieves the workload in IT.
