Teams Manager at the Lucerne University of Applied Sciences and Arts

The Lucerne University of Applied Sciences and Arts, the largest educational institution in Central Switzerland, introduced MS Teams at the beginning of 2021 and migrated to Exchange Online. The issue of security and compliance was considered the biggest challenge before the rollout.

The nearly 7,800 students and 1,900 employees of the Lucerne University of Applied Sciences and Arts should not be able to create countless new teams and Office 365 groups in an uncontrolled manner. At the same time, certain functions and competencies should only be available to employees of the IT Services department. For this purpose, Solutions2Share deployed two different instances of Teams Manager.

Teams Manager features ease of use, a visually appealing interface, and uncomplicated collaboration with the manufacturer. Users at the Lucerne University of Applied Sciences and Arts can now easily create and manage teams themselves.

The Lucerne University of Applied Sciences and Arts is the largest educational institution in Central Switzerland with currently 7,800 students and 1,900 employees using Microsoft Teams. During the introduction of MS Teams and the migration to Exchange Online, the topics of security and compliance presented the greatest challenges.

The users, i.e. the employees and especially the many students, should not be able to create new teams and Office 365 groups in an uncontrolled way. At the same time, certain functions should only be available to a specific group of employees.

Our solution for Lucerne University of Applied Sciences and Arts

With this in mind, the Lucerne University of Applied Sciences and Arts was looking for a tool that would support the introduction of Microsoft Teams in order to meet the security and compliance requirements. At the same time, the tool needed to be flexible enough to cover the requirements of the two different user groups.

The decision was made to use Teams Manager from Solutions2Share. The ease of use, the visually appealing interface and the uncomplicated cooperation with the manufacturer Solutions2Share convinced the decision makers of the IT department of the Lucerne University of Applied Sciences and Arts.

For the implementation, Solutions2Share rolled out two different instances of Team Manager: One for employees of the IT Services department, with more features and greater competencies, and a scaled-down version for students. For members of the Lucerne University of Applied Sciences and Arts, thanks to Teams Manager, there is now the possibility to easily create and manage teams themselves. Furthermore, Teams Manager’s lifecycle management ensures that student project teams and teams with a limited duration are automatically deleted, thus preventing uncontrolled growth.
